Become a Personal Assistant through TFA

As a Personal Assistant through The Family Assistant you work for one entrepreneur, director or busy professional. You keep an overview of the calendar, the inbox and all the practical matters that would otherwise be left undone, both at work and privately.

It is a role for someone who thinks ahead, acts independently and can handle confidential information. In return you get a steady place, an employment contract and support for as long as you work with us.

What does a Personal Assistant do?

A Personal Assistant, also called an executive assistant, takes on work that would otherwise stay with the entrepreneur. You guard the calendar and the priorities, prepare meetings and make sure appointments, documents and deadlines are right. Because work and private life overlap for entrepreneurs, the private side usually comes with it.

No two assignments are the same. With one the emphasis is on business support and travel, with another on organising the household around a full calendar. The vacancy always states where the focus lies.

  • Complex calendar management, with shifting priorities and several time zones.
  • Preparing meetings: gathering documents, summarising and arranging the follow up.
  • Booking travel and accommodation, including the planning around it.
  • Keeping the inbox under control and guarding what needs an answer.
  • Contact with relations, suppliers and service providers.
  • Keeping insurance, subscriptions, quotations and administration in order.
  • Arranging private matters: gifts, appointments at home and the family planning.
  • Picking up small projects, from a team outing to a move.

A day as a Personal Assistant

You start by going through the day: what is scheduled, what has come in and what needs a decision today. You join the first meeting, record the agreements and pass them on to the right people. In between you move a flight, arrange a gift for an anniversary and make sure tomorrow's documents are ready.

At the end of the day the calendar is up to date, you know what is coming tomorrow and nothing has been left. That is exactly what makes this role so valuable: calm and overview for someone with a full agenda.

What we ask of you

  • A recognised qualification, for example from Schoevers, and demonstrable experience as a Personal Assistant or executive assistant.
  • Strong in planning, setting priorities and switching between subjects.
  • Excellent written skills in Dutch and English.
  • Discretion: you look into the calendar, the inbox and sometimes the finances.
  • Independent and proactive; you do not wait for instructions but notice things yourself.
  • Calm under pressure and flexible when the day turns out differently.
  • Presentable and professional in contact with relations.
  • A driving licence and a certificate of conduct.
  • A service mindset: taking work off someone's hands is your passion, and you think along with what they need, also when it is not in the brief.

The difference with a Family Assistant

A Family Assistant focuses on the household and family life: the family calendar, groceries, laundry and the children. Terms of employment and salary

You are employed by the family or the company, with a full employment contract. That means you are socially insured, you continue to be paid when ill and you are entitled to holidays and holiday pay.

The indication is between € 3,500 and € 4,500 gross per month based on 40 hours, depending on your education, your experience and the weight of the role. Each vacancy states the range, the hours, the working days and any travel allowance. Read more about the terms of employment.

Training and support

We first review your CV, then there is an online introduction and, if there is mutual interest, a conversation at our office in Utrecht. We then check your references, diplomas and certificate of conduct and introduce you to a client who suits you. See the whole procedure.
